GAMING DISCORD TEMPLATE / FREE SETUP KIT

Esports Discord Server Template

Free esports Discord server template with private team channels, scrim planning, match-day workflows, safe roles, onboarding and setup guidance.

  • 8–150 members
  • Advanced
  • ~70 min setup
  • 29 channels · 12 roles
  • No Community features needed

Is this template right for you?

Run a competitive roster like an organisation, not a general gaming chat. Players, coaches and managers get private spaces for availability, practice, scrims, VOD review, strategy and match-day decisions; trial players and community members only see the areas staff deliberately grant.

Best for

  • A fixed roster that needs to schedule scrims and matches reliably
  • Coaches running VOD review and keeping strategy away from the public
  • Running tryouts without giving trialists access to the team's plans

Not ideal for

  • Open communities where anyone can join to find games — use The Gaming Hub
  • Casual friend groups with no competitive schedule — use Pixel Party

Built for: Amateur and semi-pro esports teams · Collegiate and school esports programmes · Small organisations running one to three rosters · Team managers and coaches

Categories & channels

Create each category with its permissions first, then add channels inside it and keep them synced to the category. Channel types used: Text, Voice.

Onboarding flow

No Community features are required. Competitive access is approval-based: a Manager assigns Player, Substitute, Trial Player, Coach or Analyst after confirming the person's status. Onboarding may offer Member and opt-in Match Ping only; it must never unlock team categories.

Question 1 · required

How are you joining?

  • Signed player or substitute→ No automatic role — staff verifies the roster and assigns Player or Substitute
  • Trial player→ No automatic role — follow #recruitment-info and staff assigns Trial Player if accepted
  • Coach, analyst or staff→ No automatic role — Manager verifies and assigns the correct staff access
  • Community member→ Member only → #community-chat
Question 2 · optional

Which notifications do you want?

  • Official match updates→ Match Ping → #match-results
  • No notifications→ No role

Default channels: rules, announcements, team-info, match-schedule, community-chat, match-results

Suggested first steps: Read #rules and #team-info → Ask a Manager to confirm the correct access role → Check #match-schedule → If approved for the roster, answer the current #availability poll

Moderation setup

Verification level
Medium — Requires a verified email and an account registered for more than 5 minutes, which is enough when team areas are role-gated. Use High if the fan area attracts raids.
Explicit media filter
Scan media content from members without roles.

AutoMod rules

  • Block mention spam (limit around 5)Block the message and time out for 10 minutes; alert #staff-log.
  • Commonly flagged words: the Insults and Slurs listBlock the message and alert #staff-log.
  • Custom keywords: account selling, boosting and cheat-service phrasesBlock and alert.

Escalation

  1. Private conversation with the Coach or Manager
  2. Written warning recorded in #staff-log
  3. Benched from a match under the published team policy
  4. Removed from the roster
  • Offboarding is the security step teams forget: when a player, coach or trial player leaves, remove their roles the same day and check #staff-log for anything they still own.
  • Role permissions keep strategy private, but anyone who can see a channel can copy or screenshot it. Keep genuinely sensitive plans to the people who need them.
  • Manage Roles lets the Manager assign only roles below their own role, so keep Manager above every player, substitute and trial role.

Recommended bots

Try Discord's built-in features first. Bot names are examples to evaluate, not endorsements; CordNexa has no affiliation with any bot. Review the permissions a bot requests before adding it.

Availability and sign-ups

Optional

Knowing who can play before you book a scrim.

Native first: Discord polls (up to 10 answers, running up to a week) handle weekly availability, and Scheduled Events show matches with an Interested button. Add a sign-up bot only if you need rosters per event.

Examples: Apollo (sign-up lists)

Match stats

Optional

Some teams like results and stats posted automatically.

Native first: The #scrim-log format works without a bot. Only add a stats bot that officially supports your game.

Step-by-step setup

These steps are specific to this kit. For the reasoning behind each stage — permissions, onboarding, testing and launch — see how to make a Discord server.

  1. Create the server and secure the owner

Turn on multi-factor authentication (2FA) for the owner account. This private-first layout uses text, voice, polls and Scheduled Events, so Community features are not required.

  2. Create roles top-down

Owner → Manager → Coach → Moderator → Captain → Analyst → Player → Substitute → Trial Player → Member → ping roles. Manager must sit above every access role it assigns; no role needs Administrator.

  3. Launch with the compact 18-channel core

Start with #rules, #announcements, #team-info, #match-schedule, #team-chat, #availability, #strategy, #vod-review, #scrim-schedule, #scrim-results, #match-info, #lineup, Team Room, Practice Room, VOD Review, #management, #coaches and #staff-log. Add recruitment, opponent notes, practice notes, match chat, Match Room, private planning and public community channels only when the workflow exists.

  4. Restrict private categories

Deny View Channel for @everyone and Member in TEAM, PRACTICE & SCRIMS, MATCH DAY, VOICE and STAFF. Grant only the roles listed for each category, then keep child channels synced unless a documented exception is needed.

  5. Separate trials from the roster

Publish application instructions without exposing personal details, then have staff assign Trial Player only after acceptance. Trial Player sees recruitment and an approved practice session, never #strategy, opponent notes, match-day planning or staff evaluations.

  6. Set up scrim and match workflows

Use #scrim-schedule for confirmed fixtures and #scrim-results for concise review records. Use #match-info and #lineup for the next official match. This server coordinates one team's work; opponent discovery and multi-team scheduling belong in a dedicated scrim server.

  7. Publish team policies

Fill #rules and #team-info with confidentiality, reporting, attendance and voice expectations. Mark attendance, practice frequency and response deadlines as your team's customizable policy rather than universal esports rules.

  8. Add people and record access

Invite players and staff, verify their role with the Manager, and record assignments plus review dates in #staff-log. Do not grant competitive access through a public onboarding answer.

  9. Test every role

Use View Server As Role for Player, Substitute, Trial Player, Member and a role-less account. A trial player must not see team strategy, scrim notes, match-day planning or STAFF; a Member must see only TEAM HQ, public recruitment instructions and the optional community area.

Make it yours

More rosters

Duplicate TEAM, PRACTICE & SCRIMS and MATCH DAY only when another active roster needs separate access. Give it a distinct Player role and keep STAFF shared.

Collegiate programmes

Add a read-only #eligibility channel and a staff-only #compliance channel for academic or league requirements.

Fully private team

Delete COMMUNITY (OPTIONAL) and keep @everyone limited to the read-only TEAM HQ entrance until staff assigns access.

Team streamers

If players stream, pair this with the Streamer Community template in a separate public server rather than mixing fans into the team server.

Community rules

  1. Community conduct: treat teammates, staff, opponents and community members respectfully. Harassment, slurs, threats, doxxing and targeted abuse are not allowed.
  2. Competitive integrity: no cheats, exploit abuse, prohibited software, account sharing, boosting, match fixing or attempts to evade league and tournament rules.
  3. Confidentiality: do not share private strategy, VODs, lineup decisions, opponent notes, staff discussions or scrim information outside the people authorised to see them.
  4. Scrim etiquette: arrive prepared, use the confirmed format, respect the opponent and record results honestly. Do not publish another team's private information or use scrims for public call-outs.
  5. Customise this team policy: define practice attendance, availability-response deadlines, absence notice and consequences for missed commitments before asking players to agree.
  6. During practice and matches, keep voice comms focused on the game, follow the designated caller and move disagreements to a calm review after the session.
  7. Do not impersonate managers, coaches, tournament officials or opponents, and do not falsify results, screenshots, eligibility or roster status.
  8. Report conduct, safety or staff concerns privately to the Manager, Moderator or owner. Staff record material actions in #staff-log; do not retaliate or organise public accusations.

Need stricter or more relaxed wording? Customise these rules in the rules generator.

Welcome message

Welcome to the team HQ. Read #rules and #team-info first, then ask the Manager to confirm your Player, Substitute, Trial Player or staff access—competitive roles are never self-assigned. Check #match-schedule for official dates; approved roster members use #availability, #scrim-schedule and Practice Room. Questions or access issue? Message the Manager or Moderator.

Esports Team HQ FAQ

What channels should an esports Discord server have?

Start with rules, team information, a maintained schedule, team chat, availability, strategy, VOD review, confirmed scrims, match information, lineup, three focused voice rooms and a small staff area. Add recruitment and a public community area only when the team uses them.

What roles should an esports team use?

Use Owner and Manager for administration, Coach and Captain for competitive leadership, Player and Substitute for roster access, Analyst for review work, Trial Player for temporary recruitment access, Moderator for community conduct and Member for public areas. Keep access staff-assigned.

Should an esports team server be public?

The competitive area should not be. Keep strategy, scrims, match-day planning, recruitment decisions and staff categories hidden from @everyone. A small public community area is optional; many teams keep it in a separate server.

How many channels should a small esports team launch with?

The compact setup in this kit uses 18 channels covering essential information, team coordination, scrims, match day, three voice rooms and staff operations. Add recruitment, opponent notes and public community channels only when they have an owner and active workflow.

How do we run VOD review on Discord?

Post one entry per VOD in #vod-review with the link, owner and focus points, discuss timestamps in its thread, and use VOD Review for live screen sharing. Mark the review complete and move follow-up actions into #practice-notes.

How should an esports server handle scrims?

Use #scrim-schedule only for confirmed fixtures and #scrim-results for a concise score plus review takeaways. Keep opponent discovery, multi-team matchmaking and cross-team scheduling out of this team HQ; those workflows need a dedicated scrim server.

How do we track availability?

Post a weekly Discord poll in #availability with one answer per slot. Polls allow up to 10 answers and can run for up to a week, which fits a weekly scrim schedule.

Can onboarding give someone the Player or Trial Player role?

It should not. Competitive access reveals private operations and must be assigned by a Manager after roster or application checks. Public onboarding can assign Member or opt-in notification roles only.

Are practice attendance rules universal?

No. Publish your own realistic expectations for practice frequency, availability deadlines, absence notice and consequences. Label them as team policy and review them whenever the roster or competition schedule changes.

What happens when a player leaves?

Remove Player, Substitute and specialist roles the same day, record the change in #staff-log, and review who can see #strategy and shared documents. Channel security only works while access roles stay current.
